    Hello UAI EAC Members,

    Thank you for attending the December 14, 2022 UAI Executive Advisory Council (EAC) meeting. It was a pleasure to connect with you in-person. We sincerely appreciate you taking the time to join us and for the thoughtful input you provided during the meeting.

    Please find below a recap of our discussions and action items highlight in yellow.

      • UA Summit
        • April 4-6, 2023 in Kansas City, MO – hosted by Evergy
        • EAC members to arrive by Monday, April 3 before 1:00 PM to attend the EAC meeting that runs from 1:00 – 4:00 PM, followed by dinner at 6:00 PM CT
        • Members receive two free registrations with their membership benefits

      • UA Summit vs UA Week
        • UA Summit Changes!  Breakout sessions will be collaborative – discussion forums and roundtable discussions designed to enrich the attendee experience by providing an immersive conference. 
        • UA Week Changes! Includes a leadership track that runs concurrent with event.

    • We celebrated our 2022 UAI Excellence Award WINNERS!
    • EAC in-person meeting changes in 2023
      • EAC members requested more time together during in-person meetings at UAI events AND they requested that we not schedule the meeting over other activities taking place on day 1 of the event (things like roundtable discussions and community conversations).
      • Because of this we are changing the meeting day for the EAC during UA Summit to Monday, April 3 from 1:00 – 4:00 PM, followed by dinner at 6:00 PM. This will allow you to fly in on the same day you have been (being there in time for a 1:00 PM start time) and you get more time together!
      • We will repeat this change for the EAC meeting during UA Week, which will take place on Monday, October 30 from 1:00 – 4:00 PM, followed by dinner at 6:00 PM

    • Job Descriptions Sub-Committee Updates
      • Before Oct 18 EAC Meeting – Started to define roles and identify example list of functions for roles – prepping for EAC exercise
      • During Oct 18 EAC Meeting
        • Wildly popular exercise to continue discussing, identifying, and documenting
          • Definition of the role + identify similar titles for the same role
          • Important functions that need to be accomplished within the role at your table
        • Per the request of the EAC members, we will be keeping you up-to-date on the work that the Job Descriptions Sub-Committee is doing
          • As we continue to work on and build out details of the job descriptions, we will deliver value/updates incrementally to the EAC
          • We have created a Job Descriptions folder in the EAC Library where we will post updates
          • When an update has been included in the library, UAI will send out an announcement via the discussion forum
      • After Oct 18 EAC Meeting
        • We walked away with LOTS of updates! Thank you!
        • Job Descriptions Sub-Committee met in November to continue work
          • We reviewed and compiled the updates
          • We discussed, updated, and agreed upon the “notes for consideration for creating job descriptions” section and the “next steps” section
          • We discussed and decided on a plan for the “Engineer” role – breakout “Engineer” role into two separate categories:
            • Engineers Responsible for Data + Platforms
            • Engineers Responsible for Analytics Solutions
          • Sub-committee currenting working to flesh out each Engineer category
        • Next Meeting: December 16
          • Finalize the two “Engineer” roles
          • Start discussions on the next role: “Architect”
    • Strategic Advisory Board (SAB) Member Nominations for 2023-2024 Board
      • It is time for SAB Term Rotation
      • We are starting recruitment immediately to replace SAQB members rolling off in February 2023. We have 6-7 members rolling off the SAB
      • We need new SAB members in place by end of February 2023
      • New term starts March 1, 2023
      • Those that are rolling off will help the SAB identify replacements, either from their own utility or from the EAC members (see nomination form)
      • SAB Charter Statement
        • Inaugural SAB member terms: The term of the inaugural SAB members is two to three years with half of the members rolling off at two-years and the other half rolling off at three years. The roll-off period will take place the last day of February of the term year.
        • Subsequent SAB member terms shall be two years. No member shall serve more than two consecutive terms, but a former member may be re-appointed after a one-year absence from the SAB.
        • Should a SAB member be unable to complete his/her term for any reason, a replacement SAB member may be selected to serve out the term of the vacated position. The option to offer a replacement a full 2-year term will be left to the discretion of the SAB members as long as the balance of SAB membership is maintained as defined by the rotation schedule.
        • Positions and vacancies are filled as the SAB requires, specifically if there are specific areas of expertise required to meet the needs of the service population.
        • The SAB shall establish a membership rotation schedule that will maintain the balance and diversity inherent in the original makeup of the SAB, and at the same time, encourage new individuals to participate in the SAB. Tenure for at least 40% and no more than 50% of the members of the SAB will end on any given year.
        • A year will be defined as March 1 through the last day of February of the following calendar year. Members rotating off the board will do so on the last day of February.
